A tested recovery plan replaces hopeful backups

An advisory firm moved from untested backups to a recovery plan it has actually rehearsed.

The challenge

What was going wrong

The firm kept client files on a few aging servers in the office. Backups ran each night to a single device in the same room. Nobody could say whether a file could really be restored, or who would do it after a fire, a theft or a ransomware attack.

Client work is time sensitive and confidential. A lost week of files would mean missed deadlines and hard conversations with clients. The firm also could not tell its insurers or clients how quickly it could recover, because it had never measured it.

Our approach

How we worked it out

  1. 1

    Find what matters most

We listed every system and file share, then asked partners which ones the business cannot work without. That gave us a clear order of recovery.

  2. 2

    Design the backup layers

We planned local copies for quick restores and a separate offsite copy that attackers cannot reach from the office network. Each system got its own schedule.

  3. 3

    Rehearse the restore

We restored real files and whole servers into a test space and wrote down what broke. We fixed those gaps and repeated the test until it worked cleanly.

  4. 4

    Hand over and keep checking

We wrote a short runbook anyone on the team can follow. We now run regular restore checks and report any backup that failed or went quiet.

What we built

The solution

  • Layered backup setup

Fast local copies plus a protected offsite copy for every key system.

  • Written recovery runbook

Plain step-by-step instructions, ordered by what the firm needs first.

  • Regular restore tests

Scheduled test restores prove the backups work before a crisis does.

  • Alerting on failed jobs

The support team is told the same day if a backup fails or stops running.

What changed

The results

  • Backups proven by real restores

The firm now knows its files can be brought back because the team has done it, not assumed it.

  • Clear order of recovery

Everyone knows which systems return first and who is responsible for each step.

  • Stronger answers for clients

Partners can explain their recovery plan when clients and insurers ask about it.

Technology

What it was built with

  • Veeam Backup and recovery for virtual machines and servers.
  • VMware Virtualisation for running workloads on-premise or in hybrid setups.
  • Linux Open-source server operating system we patch and harden.
  • PowerShell Automates Windows and Azure administration tasks.
